Job Description
HYPE! is looking for our newest team member.
The ideal candidate will be responsible for planning, coordinating, and implementing projects within the decided-upon budget, timeline, and scope. They will also effectively monitor and present project updates to relevant stakeholders, clients, or project team members.
Overview of Responsibilities

- Coach and support project team members with tasks you assign them
- Own client communication
Qualifications
- Bachelor’s Degree or equivalent experience
- Strong business acumen in project planning and management
- Strong verbal, written, and organizational skills
Breakdown of role, duties include but not limited to:
- Reports to CEO and Director of Marketing
- Work with Clients and provide SOW/Estimates for new program needs
- Meet deadlines and the company’s expectations
- Create production timelines in line with the client’s expectations
- Lead the creation of program concept recommendations, providing details such as staffing profiles, event location details, and additional support/rationale details
- Work with fellow Producers to analyze Activation Specialist’s workloads, and assign programs accordingly
- Lead Kick Off Call with Team
- Manage timelines and content development with vendors and clients, relay all program details to Activation Specialist
- Oversee Activation Team and assist as needed, to ensure client activation details are performed on time, on budget, and on-objective
- Respond timely to daily miscellaneous requests and projects
- Step in for Activation Specialists and other team members as needed to maintain manageable workloads and meet deadlines
- Oversee Activation Specialists in maintaining overall program timelines and status reports are updated per approved timeline for internal teams and client communication and distribution
- Be proactive in managing all the details throughout the project to ensure the project is progressing in a timely and accurate manner.
- Double check Paysheets, and create Bill sheets and Closing Forms, alerting Accounting when completed
- Report any known performance or disciplinary issues directly to HR
- Exhibit time management skills enabling prioritization of a fast-paced workload with conflicting and multiple deadlines
- Research, interview, and form strong partnerships with reliable external vendors including production, technology, and premium vendors
- Demonstrate initiative and follow-up pertaining to tasks and assignments, flexibility towards duties, and schedule
- Remain active and current on experiential trends, new technologies, and vendors – keep client development, new business, and clients informed as needed
- Maintain a positive attitude and approachable personality
- Teach in a manner that is best for the individual
- Oversee team to ensure client activation details are performed on time, on budget, and on-objective
- Support on-boarding of new clients and introductions
- Participate with other senior account team members in client service planning.
- Maintain interaction with clients, ensuring continual alignment of HYPE services and core values.
- Ensure client satisfaction, retention, efficiency, and quality.
- Lead the creation of program concept recommendations, providing details such as staffing profiles, event location details, and additional support/rationale details
In addition, oversee Activation Specialist and actively contribute to:
- Reconcile staff hours, reimbursable, or any other event costs on the pay sheet/expense tracker with proper notation within 24-48 of each event, each week.
- Enter verified hours and pay rates onto the pay tab of the OC within that same time frame each week, including OT and expenses
- Note the paysheet that hours have been verified, and note the date that the producer has been notified that they need to approve paysheet
- Save all completed timesheets in program folders
- Ensure all expenses have accompanying receipts, and receipts are saved in the program folder
- Complete required case studies and any program recaps if assigned
- Maintain complete, organized, and updated program files
- Be available to clients, internal colleagues, and staff at all times during program activations, including weekends and evenings
- Answer talent, client, and team members’ questions in a timely and efficient manner
- Prepare staff bio presentations
This position requires you to
- Manage and maintain a partnership with 3 or more key accounts.
- Work weekends and nights as needed
- You will need to continue to have strong interpersonal skills and the ability to collaborate well with all client contacts.
- You will facilitate communication between activation teams and your key accounts as needed.
- You will exhibit strong communication skills in both writing and speaking.
- You are required to think strategically to create win-win scenarios for all your key accounts and for Hype. Creating these mutually beneficial circumstances requires careful planning and strategic thinking in the areas of operations, sales, and more.
- You are required to plan and budget clients’ programs to ensure proper profit margins.
- Part of building a strategic partnership is gradually increasing and expanding your business with key account clients. Business development skills help you continue expanding key accounts to grow your organization’s profits gradually.
Priority consideration will be given to candidates that also have the following qualifications:
- Proactive and a master of prioritizing competing demands in a fast-paced environment. Able and willing to flex from strategic to tactical work every day
- Exceptional interpersonal communication (verbal and written) and collaboration skills·
- Demonstrate success working in a team environment, on multiple projects, with changing priorities.
- Have the ability to work both on a team (as a member and/or leader) and independently to deliver result
