We are looking for an Admin Assistant/Office Manager to coordinate and maintain efficient processes to support the CEO and account teams. The perfect candidate would excel in organization and be self-motivated. We value candidates who are confident in their ability to develop systems that efficiently meet the needs of the team.

Primary Responsibilities Include: 

Human Resource Services

  • Process pre-employment documents to include candidate assessments and background checks and report results to account managers
  • Data Entry; entering new talent into our HR software (Zenefits).
  • Maintaining current talent databases: regular maintenance to ensure that current information is up to date and accurate.
  • Manage and organize office and program calendars.
  • Maintain electronic employee personnel files.
  • Assist with HR and Marketing mailings.
  • Handle a variety of miscellaneous HR tasks and special projects.

Administrative Services: 

  • Negotiate the purchase of office supplies, services and office equipment.
  • Maintain the facilities day-to-day operations (such as coordination of office cleaning services, mailing services, etc.)
  • Enter credit card charges/track job expenses as needed.
  • Answer general mailbox and general inquires from talent regarding the talent registration process.

Essential Qualifications include:

  • 2+ years of administrative/office management experience.
  • Proficiency with Microsoft Office Applications (Word, Excel) is essential.
  • Exceptional organizational skills and attention to detail.
  • Discretion in dealing with confidential information.
  • Ability to handle multiple tasks and responsibilities simultaneously.
  • Ability to communicate effectively with all levels of personnel including customers.
  • Ability to foster a cooperative work environment.
  • Ability to develop and maintain efficient office work and administrative processes.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
